Sonar is an internal tool used by Ancira Auto Group ("Ancira") employees to read, triage, and respond to customer reviews of Ancira's dealerships. It is not offered to the public. This policy explains what information Sonar handles and why.
Information from Google
An authorized Ancira employee can connect a Google account that manages Ancira's Google Business Profile listings. With that permission, Sonar reads Business Profile account and location information and the customer reviews posted on those listings: the reviewer's public display name, star rating, review text, date, and any published reply. Sonar uses read-only access. It does not post replies, edit listings, or change anything in Google on its own.
The Google authorization token is stored encrypted in Ancira's database and is used only to read the listings and reviews described above. An administrator can disconnect Google inside Sonar at any time, which erases the stored token. Access can also be revoked from the Google account's connections page.
How information is used
- Reviews are shown to signed-in Ancira staff, limited to the dealerships each person is assigned.
- Review text is sent to OpenAI's API to classify sentiment and themes and to draft suggested replies. Requests are sent with OpenAI's storage option turned off, and OpenAI's own terms govern its handling of that data. Replies are always reviewed, edited, and posted manually by a person on the original platform.
- Staff can paste a review into the "Write a response" tool to get a draft. Pasted reviews and the drafts generated from them are not stored by Sonar; only usage counts (dealership, user, time) are recorded.
- Sonar does not sell personal information and does not use it for advertising.
Staff account information
For each staff account Sonar stores a username, a salted password hash, assigned dealerships, role, and an activity record of administrative changes and response activity. This is used to control access and to keep an audit trail.
Where information is stored
Sonar runs on Vercel and stores its data in a Neon PostgreSQL database, both hosted in the United States. Ancira's service providers process data on Ancira's behalf for this purpose only.
Retention and deletion
Review data is kept for as long as Ancira uses Sonar. Ancira can remove stored data on request, and disconnecting Google stops any further collection from Google.
